Poland Student Visa for Indians: Evidence the Consulate Accepts

In 2026, a Poland student visa file with enough money still fails the document test when its evidence category is wrong. The current India checklist accepts a credit-card limit certificate from an Indian bank. It restricts an ordinary bank-funds certificate to banks in Poland, the EU, EEA EFTA states or Switzerland. An Indian savings-account balance certificate is therefore not in that named bank category.

The India study appointment uses two systems. Registration begins in e-Konsulat. An allocated applicant then completes a separate VFS form and attends the correct visa application centre. The newer checklist dated 14 May 2026 sets a 30-calendar-day planning position after the file reaches the embassy or consulate, before appointment wait and VFS transit. This guide joins those steps into one readiness check for Indian students planning a 2027 intake.

Which Poland student visa route applies to you?

Most Indian students entering Poland for a course longer than 90 days apply for a national D visa. The Polish Ministry of Foreign Affairs says a national visa can cover a stay longer than 90 days and can be valid for no more than one year. It also permits short travel in other Schengen states within the 90 days in any 180-day rule.

A visa isn’t a full-course residence guarantee. It supports entry and the stay authorised on the sticker. If your programme continues beyond it, the next legal decision is usually a temporary residence permit in Poland. Work rights form a third decision and depend on your study mode and residence basis.

The course label matters. The official MOS study-permit guidance treats full-time first-cycle, second-cycle, long-cycle and doctoral education as studies. Part-time higher education, postgraduate programmes and MBA courses are treated as education rather than studies for this residence route. A university logo on the offer doesn’t erase that distinction.

How does the Poland visa appointment work in India?

Consular jurisdiction comes before the nearest city. The Embassy of Poland in India divides India between New Delhi and Mumbai. The New Delhi district includes northern, eastern and several central states and union territories. The Mumbai district covers Andhra Pradesh, Goa, Gujarat, Karnataka, Kerala, Maharashtra, Puducherry, Tamil Nadu, Telangana, Andaman and Nicobar Islands, Dadra and Nagar Haveli and Daman and Diu.

The live jurisdiction list should match the applicant’s current state of residence. Travel convenience doesn’t control the district. The application is submitted personally at a VAC. The diplomatic mission doesn’t accept a study-visa form sent by post, email or fax.

  1. Select India and the correct New Delhi or Mumbai mission in e-Konsulat.
  2. Complete the national study-visa registration accurately.
  3. Wait for allocation under the mission’s current appointment procedure.
  4. After allocation, complete the separate form on the VFS website.
  5. Choose an available VAC within the procedure and prepare the checklist in its stated order.
  6. Attend in person with the originals and required copies.

This sequence comes from the embassy’s study-visa registration procedure, in force since 2 July 2024. An e-Konsulat registration is not the separate VFS form. A VFS profile without the required e-Konsulat allocation is not a completed study appointment either.

Appointment capacity changes. An assumed slot date is unsafe for a non-refundable flight, housing or university payment. Screenshots and confirmation emails from both systems create a record. The passport number, course dates and mission should match across them.

Which documents should an Indian student prepare?

The India study-visa checklist dated 14 May 2026 should control the file. A university checklist or an old saved copy cannot replace it. The mission’s order and its original-document instructions apply.

The checklist asks for a one-way reservation, not a purchased air ticket. The embassy advises against buying a ticket before the decision. The insurance should cover at least EUR 30,000, and an India-issued policy should be checked against the current official insurer list.

Indian education documents may need an apostille. The embassy’s apostille page confirms that India and Poland are parties to the Hague Apostille Convention and that the Indian Ministry of External Affairs issues the apostille. Recognition is separate. For first-cycle or long-cycle admission, the current visa checklist can require a NAWA recognition statement. A master’s applicant should retain the diploma and the admission evidence listed for that route.

The exact university and qualification checks belong in the Poland universities guide. If a public institution page and an agent message disagree, the official requirement should remain in the file until the university supplies a dated written clarification.

How does the India visa readiness calculator work?

Readiness has two tests. The first is the funds floor. The second is the proof category. Passing only one does not make the file ready.

Visa funds floor = PLN 1,010 x intended-stay months + documented accommodation for those months + PLN 2,500 return funds

Tuition evidence is separate. Unpaid tuition does not disappear into this formula or a general balance. For a 12-month intended stay with documented accommodation of PLN 1,500 a month, the floor is PLN 32,620. This contains PLN 12,120 for living, PLN 18,000 for accommodation and PLN 2,500 for return travel.

The approximate INR orientation is INR 8.33 lakh using European Central Bank reference rates dated 7 August 2026. The EUR to INR rate was 109.8275 and the EUR to PLN rate was 4.2983. This derived conversion will change, so use PLN for the checklist and the live rate for family planning.

The Indian bank evidence mismatch

The same official India checklist permits a bank certificate stating a credit-card limit when the bank is in India, Poland or another country. Its bank-funds certificate category is narrower. That bank must be in Poland, another EU member state, an EEA EFTA state or Switzerland.

This is not a wording technicality. An India-issued credit-card limit certificate and an Indian savings-account balance certificate are different evidence types. The first is expressly within the listed credit-card category. The second is not within the accepted bank-funds geography. The checklist also says no other funds documents will be accepted.

The checklist names five usable routes for financial proof.

  • Traveller’s cheques
  • A credit-card limit certificate from a bank in India, Poland or another country
  • A bank-funds certificate from a bank in Poland, the EU, an EEA EFTA state or Switzerland
  • A Polish or foreign scholarship award
  • A notarised sponsorship letter covering travel, living and accommodation, supported by the sponsor’s employment and monthly salary certificate or one of the listed funds documents

Opening a credit card or moving money only because of this page would be unsafe. The issuing bank’s precise certificate needs a line-by-line comparison with the current checklist. The family also needs enough liquidity for tuition and actual costs. A credit limit can support visa evidence without becoming a sensible way to fund a year abroad.

Housing changes the result materially. A higher monthly rent raises the official floor for every intended-stay month. What are the fee, processing time and refusal risks?

The India consular fee table effective 1 January 2026 sets the national visa fee at INR 21,120. A request to reconsider a national visa decision also costs INR 21,120. The application fee is not refunded merely because the visa is refused.

Official processing texts currently conflict. The evergreen India study-visa webpage says a decision is normally made within 15 days and may extend to 30. The newer checklist dated 14 May 2026 says a decision will be made within 30 calendar days after the application reaches the embassy or consulate. It warns that applying less than 30 days before intended travel is at the applicant’s risk.

The safer planning floor is 30 calendar days after mission delivery. e-Konsulat allocation, the VFS step, VAC availability and transit from the VAC to the mission come before that period. This is a planning buffer, not a promised decision date. Both official pages and the live appointment procedure need a fresh 2027 check.

Refusal risk is broader than a missing paper. The official MOS decision guidance includes inadequate funds, missing insurance, unreliable statements, doubts about the stated purpose or departure, false documents and security grounds. Study-specific problems can include an institution used mainly to facilitate unlawful stay or misuse of an earlier study visa.

A student may request reconsideration within 14 days of receiving the refusal. The MOS appeal guidance explains this route. A reconsideration should answer the stated refusal reason with reliable evidence. It is not a fresh opportunity to submit a different story.

Tuition recovery is contractual. The embassy’s refund notice says the ministry, embassy and consulate do not mediate or recover a student’s fee. The university’s visa-refusal clause, deductions, deadlines and evidence requirement decide the payment risk.

What changes after you arrive in Poland?

The visa expiry and course calendar determine the after-arrival deadline. If authorised stay does not cover the programme, the correct temporary residence route must begin before legal stay ends. A university annex can take time to issue or sign electronically, which makes the final month a risky starting point.

From 27 April 2026, the Office for Foreigners says temporary residence applications are filed electronically through MOS. The applicant signs through login.gov.pl. A correctly signed and sent filing generates an official UPO acknowledgement of receipt.

A correct application submitted during legal stay can keep the stay lawful until the decision becomes final. The UPO confirms that MOS received the filing. After verification, the voivode generates a separate certificate confirming submission. The MOS filing guidance says neither the filing certificate nor a pending case authorises Schengen travel or re-entry. An Indian student who leaves without another valid entry basis can need a fresh visa to return.

The study permit also has continuing conditions. The current MOS study page asks for university confirmation, tuition payment where applicable, insurance, funds and housing evidence. Study remains the purpose. Changes in enrolment or purpose can affect the decision and should be reported as the law requires.

Part-time, postgraduate and MBA learners should not copy a full-time student’s residence checklist. Their course is treated as education under the official classification. The permit ground and work position need to be checked separately for their facts.

Can you work during study and after graduation?

A student whose stay is based on a Polish visa for full-time studies or the qualifying temporary residence permit can work without a separate work permit. The Office for Foreigners student-work page also covers continuity while a correct study-residence application is pending. The official Study.gov guidance does not state a general 20-hour statutory ceiling for these full-time students.

No work-permit requirement does not mean no practical limit. Attendance, academic progress and study purpose still matter. Work cannot repair a visa budget that was inadequate at submission. A job offer also does not extend an expiring visa or replace the need for lawful residence.

The graduate residence permit is granted once for nine months to seek work or prepare a business. The MOS graduate page makes the employer-ready decision explicit. If work has started or an employer is ready to hire, the voivode will not grant a permit whose purpose is job search. The suitable work residence route becomes the relevant decision.

The graduate search permit and the graduate work exemption do not use the same test. Official MOS work guidance says the nine-month search route can follow a Polish higher-education qualification without limiting it to full-time mode. The no-work-permit benefit after graduation is for graduates of full-time Polish higher education who also have a lawful residence basis that permits work.

The first employer conversation has two questions. One concerns whether a work permit is needed. The other concerns which residence application matches the employment. An exemption from one does not produce the other.
