A PhD in Sweden is normally a funded university vacancy followed by admission and employment, while the national academic rule accepts a second-cycle qualification or at least 240 higher-education credits, including 60 at second-cycle level, or substantially equivalent knowledge. A Swedish PhD works like a job application because the university normally admits a doctoral candidate only when supervision, acceptable study conditions and financing are already secured. It cannot simply admit an unlimited number of academically qualified candidates and ask them to find money later. The university therefore advertises a specific research need and selects one candidate for the funded place.
The consolidated Higher Education Ordinance sets that structure. This is why a regular doctoral opening appears beside university jobs, while a taught degree normally follows Sweden’s university admissions process.
The normal route below begins with an advertised vacancy. Academic eligibility is checked before competitive research ability, and the residence application comes only after the university confirms admission and funding.

That quote describes one Lund department, so don’t turn it into a rule for every research group. It proves an important point. Unsolicited supervisor emails are not a substitute for the advertised process. An industrial or externally funded doctorate can start with departmental contact, but a regular vacancy should be handled exactly as its advertisement directs.
Are you academically eligible for doctoral study?
General third-cycle eligibility has three routes. You can hold a second-cycle qualification, complete at least 240 higher-education credits with at least 60 at second-cycle level, or show substantially equivalent knowledge acquired in Sweden or abroad. A typical Indian applicant will use a relevant master’s degree, but the university makes the equivalence decision.
General eligibility does not make you eligible for every vacancy. The institution can require particular prior courses, professional experience, language ability or other conditions essential to the doctoral subject. Selection then considers your ability to complete the education. A famous university, high GPA or published paper can’t repair a missing mandatory subject or method.

KTH’s doctoral eligibility page shows the two checks clearly. It uses the general academic rule, English equivalent to English 6 and extra requirements in each vacancy. Lund also warns that a department can request English test proof and can give particular weight to the quality of an earlier thesis.

Stable university vacancy sources need repeated monitoring because one September intake does not represent the Swedish route. KTH, Lund and Stockholm University show why a single annual search is too narrow. Their openings can appear in different months or through department-specific rounds, while Chalmers also separates regular vacancies from industrial doctorates. Umeå makes the application unit especially clear. You aren’t joining a general waiting list. You are applying to the available position whose subject, funding and evidence match your record.

How should you decide whether a vacancy fits?
Two percentages give a better assessment than the topic alone. The first measures how many mandatory requirements are met, while the second measures how many preferred requirements and project skills are proven. An attractive topic cannot make up for one missing mandatory condition.

Suppose a vacancy has four mandatory conditions, three preferred conditions and two project-method skills. You can prove all four mandatory items, two preferred items and both method matches. Your mandatory match is 4 divided by 4, or 100 percent. Your preferred match is 4 divided by 5, or 80 percent. That is a strong match.
Now suppose you meet only three mandatory conditions but all five preferred items. Your mandatory match is 75 percent, so you are not eligible. The exact missing condition belongs in the record, and university contact is useful only if the wording genuinely leaves an equivalent route open. A question already answered by the vacancy notice does not resolve the gap.
What should your PhD application contain?
The vacancy controls the application. A useful preparation folder contains degree certificates, complete transcripts, your master’s thesis, an academic CV, a writing sample, research outputs, method evidence and contact details for references. Add a research proposal, portfolio, code sample, licence or language test only when the advertisement or recruitment form requests it.

Lund tells applicants to follow the documents and procedure in the vacancy, while KTH’s selection sequence moves from the advertised position to requirements and the recruitment link. Each application is both a research proposal and a job application. A polished generic statement sent to twenty unrelated projects is easy to recognise.
One evidence inventory with the vacancy’s exact phrases beside the relevant proof reduces rewriting without making the application generic. It also reveals when a missing transcript, translation or thesis file needs attention before the deadline.
What do salary, tuition and duties mean?
The normal salaried route has no doctoral tuition fee. The candidate receives a monthly salary and standard employee terms from the university. Stockholm University states both points and also preserves external scholarship and employer-funded exceptions. Uppsala confirms that doctoral education is free regardless of citizenship.
One internet salary number is not a national promise. Doctoral pay follows the university’s current local terms and often a progression scale. The live advertisement, collective agreement, gross monthly amount, progression points, pension, leave, insurance and relocation support define the actual employment package. That package belongs beside the current cost of studying and living in Sweden in a household plan.
A doctorate is four years of full-time study. Departmental teaching, research or administration can occupy up to 20 percent of full time and can extend the calendar employment period. The national ordinance limits the initial appointment to one year and later extensions to two years at a time, so a first short contract does not by itself mean the doctoral education is designed for only one year.

The funding label determines more than whether money arrives each month. It also identifies the employer, the employment benefits that apply and the period the university must be satisfied is financed. A university studentship gives the clearest combined admission and employment route. An industrial, external-employer or scholarship arrangement isn’t necessarily weaker, but it needs its own written terms because the university contract cannot be assumed.
Chalmers’ industrial-doctoral guidance requires a written agreement and says the external organisation normally pays the salary. This is why “all PhDs are salaried university jobs” is too broad even though employment is the normal route.
How does the doctoral residence permit work?
An Indian citizen coming for more than three months normally needs a residence permit for doctoral studies. The current Swedish Migration Agency doctoral route requires final admission to full-time, on-site study, a valid passport and the university’s supplementary certificate of enrolment.
- Admission evidence. The decision must state final admission to full-time doctoral study in Sweden.
- Institutional certificate. The university supplies the required supplementary certificate, including salary or grant information where relevant.
- Maintenance. For a 2026 application, the base is SEK 10,656 a month. Doctoral salary, approved funding and personal assets can be combined.
- Insurance. Comprehensive insurance is needed for study under one year when the required coverage is not otherwise provided. For at least one year, population registration becomes relevant.
- Passport. The permit can’t run beyond passport validity.
- Duration. A permit can cover up to four years, never beyond the planned study period.
The doctoral route is not governed by the new 15-hour bachelor and master’s work cap. The Migration Agency’s doctoral page instead describes teaching, research or administration alongside education up to 20 percent, with separate conditions for industrial doctoral students. The permit category therefore remains material when comparing the Sweden student residence rules.
The current adult application fee is SEK 1,500. A complete doctoral application has a published 30-day decision commitment, but an incomplete case, a passport check or extra investigation can take longer. Submit promptly after receiving the formal university documents.
Can family join you and what follows the doctorate?
A spouse, registered or cohabiting partner and children under 18 can apply with the doctoral student. The family needs passports, relationship evidence and arranged maintenance for the period. For applications made in 2026, add SEK 4,440 a month for one partner and SEK 2,664 for each child to the doctoral student’s SEK 10,656 base.

One candidate with one partner and one child gets a monthly test of SEK 17,760. At the 5 August 2026 planning rate of SEK 1 to INR 10.02, that is about INR 1.78 lakh. The family can combine accepted sources, including doctoral salary and eligible assets, but must use the Agency’s amount current on the actual application date.
After completed doctoral study, an eligible graduate can apply before permit expiry for 12 to 18 months to look for work or explore a business. The route needs completion and maintenance evidence and is subject to passport validity. That duration is different from the maximum one year for bachelor’s and master’s graduates under the current Sweden post-study work rules.
The Migration Agency also has a separate permanent-residence route for doctoral students who meet the current residence-time, maintenance and conduct conditions. It isn’t automatic after finishing a PhD. It is a later eligibility assessment, not a promise attached to the offer letter.
How should you run the search from India?
A rolling 90-day cycle suits vacancies that don’t follow one national deadline. The first month builds the vacancy list and evidence, while the second supports a small number of well-matched applications. The third reviews which applications drew replies and which documents remain weak.
- Days 1 to 10. Choose two research themes and six to eight university or department vacancy sources. Save alerts where available.
- Days 11 to 20. Build one evidence inventory covering thesis, methods, advanced courses, publications, software, teaching, industry work and languages.
- Days 21 to 30. Prepare certified degree and transcript copies, clean thesis files and reference contacts. Don’t commission documents a vacancy hasn’t requested.
- Days 31 to 60. Score every relevant vacancy. Submit only after your mandatory match reaches 100 percent and each claim points to evidence.
- Days 61 to 75. Prepare research explanations for interviews. Practise describing one problem, your method choice, an unexpected result and what you would improve.
- Days 76 to 90. Review outcomes. If you get no shortlist, check subject specificity, methods proof, writing quality and whether your preferred match was consistently low.
A simple tracker contains the university, department, project, mandatory match, preferred match, deadline, contact, submission proof and result. Unclear funding language can be compared with the official Sweden scholarship rules without assuming a taught-degree award can fund a doctoral vacancy.
A good target list may contain only three serious applications in one month. Volume is not the objective. Each application should make it easy for a committee to see that you meet the mandatory criteria, understand the project and can produce the research evidence the job needs.

Can I apply after a three-year Indian bachelor’s degree?
A bachelor’s degree alone will not normally satisfy Sweden’s general third-cycle eligibility. The usual route is a relevant master’s or another qualification judged substantially equivalent. The university must also confirm every subject-specific requirement. Check your complete higher-education record rather than converting one Indian degree title yourself.
Is a PhD in Sweden free for Indian students?

Do I need savings when the position pays a salary?
Your doctoral salary can support the maintenance requirement and is evidenced through the university’s certificate of enrolment.
